Advisory for German Students/Accompanying teachers going to India on Student Exchange Programme.


The Consulate General of India, Munich attaches great importance to the Student Exchange Programme (SEP) with Germany as we believe they contribute significantly in promoting a better understanding of each other and thereby enriching the thought process of young minds. As a special gesture, the Consulate has been issuing “GRATIS” visas, on reciprocal basis to students/accompanying teachers on SEP.

The Consulate has been receiving lot of queries from German schools seeking clarifications on the procedure for obtaining visas under the SEP. It was therefore necessary to come out with an Advisory on the procedure for obtaining visas under SEP. All schools availing of SEP are kindly requested to follow the guidelines and disseminate the information which will facilitate us in smooth issuance of Visas.

Procedure for obtaining visas under Student Exchange Programme

A) Filling up Visa Applications:

The visa application has to be filled online. Link is given below http://indianvisaonline.gov.in/visa/indianVisaReg.jsp

The passport must have a validity of at least six months from the date of entry into India.

At the very first column, an applicant has to opt “Munich” in “Indian Mission” column. Visa application cannot be processed in case an Indian Mission other than “Munich” is selected.

Under ‘Type of Visa’, the applicant should opt for ‘Student Visa’

No column of the application is to be left blank

Two signatures of the applicant have to be made on the application form after the print is taken. (below the photograph on the first page and on the second page at the end)

We need two photographs as per prescribed specifications. Please see this link to get information about photographs http://indianvisaonline.gov.in/visa/

While one photograph should be pasted on the first page (top right corner at the designated space), another photo should be stapled on the left side. Please do not use gem clips.

Both pages of application form should be stapled.

B) Documents required:

A forwarding letter from German school indicating names of students and accompanying teachers.

An Invitation letter from the counterpart school in India requesting the Indian Consulate to give visas under SEP. The invitation letter should also mention names of students and accompanying teachers. The letter should confirm that the Indian students were also granted ‘Gratis’ visa by the German Diplomatic Mission in India (in case they visited school in Germany under Student Exchange Prorgramme).

C) Submission of application

Visa applications along with above-mentioned supporting documents, photos and passports need to be submitted at :

D) Collection of Passports

Once visas are ready, passports should be collected directly from the IVS. In case passports need to be returned by post, a suitable size stamped self-addressed envelope should be sent to the IVS. IVS can also arrange to send passports to individual students at their residences by post (additional cost applies).

E) Visa Fee

As mentioned earlier, there is no visa fee for students and accompanying teachers visiting India under SEP. However, IVS levies a nominal processing fee of Euro 7.50 for each application in respect of all categories of visas. Bank details of IVS can be found at http://ivs-germany.com/ApplyByPost.aspx. Please attach payment confirmation proof with the documents.

F) Miscellaneous

Complete applications should be submitted at least 5 weeks before the date of travel.

Visa applications with requisite documents should be submitted together. Applications in piecemeal or addition of any student’s/teacher’s name afterwards should be avoided.

The Student Exchange Programme is for German students. However, in case a non-German student wishes to participate, he/she should attach a copy of his/her German Residence ID.

It will be useful if the name, Handy No. and email ID of the teacher responsible for coordinating visas is mentioned on school’s forwarding letter so that we can remain in touch with him/her for any clarification.

Schools should remain in touch with IVS. However, in case of any unresolved issue with IVS, Consul (CPV) at the Consulate General of India may be contacted through e-mail cons.munich@mea.gov.in
